Special Instructions and FAQs for Applicants to the Danish Patient Safety Authority


Special Instructions


ECFMG partners with the Danish Patient Safety Authority to primary-source verify the medical education credentials of medical doctors applying for registration/licensure in Denmark. If you are a citizen of a country, and/or a graduate of a medical school, located outside of the European Economic Community (EEC), you must have certain required medical education credentials verified through EPIC prior to submitting your application to the Danish Patient Safety Authority.

Please note before proceeding that the Danish Patient Safety Authority will reject applications from medical doctors who have completed their primary medical qualifications more than six years prior to the Authority’s receipt of a fully documented application, unless the application is accompanied by a document stating professional experience for at least 12 months during the six years preceding the date when the Authority receives the application (Six-year-rule).

To have your credentials verified through EPIC in support of an application to the Danish Patient Safety Authority, complete the following steps:

Step 1 – Establish an EPIC Account.

See Getting Started with EPIC for complete instructions. Once ECFMG has processed your request and established your EPIC Account, ECFMG will e-mail you login information so you can access your EPIC Account.

Step 2 – Confirm your identity with EPIC.

See Confirming Your Identity with EPIC for detailed information. Confirming your identity with EPIC requires you to submit an EPIC Identification Form (EIF). Once this form has been accepted by ECFMG, you will be able to upload credentials required by the Danish Patient Safety Authority for primary-source verification.

Step 3 – Submit your application to the Danish Patient Safety Authority.

Read the instructions and fill out and submit the electronic application form on the webpage of the Danish Patient Safety Authority . Your application must be submitted before your credentials and reports verifying their authenticity are provided to the Danish Patient Safety Authority through EPIC.

Step 4 – Upload each required credential for primary-source verification through EPIC and select the Danish Patient Safety Authority to receive an EPIC Report once the credential is verified.

Log in to your EPIC Account and upload the following credentials for primary-source verification:

  • Final Medical Diploma (primary medical qualification)
  • Final Medical School Transcript (which must give information on all relevant medical subjects, including such subjects as neurology, neurosurgery, dermatology, etc.)
  • License to Practice Medicine issued by the competent health authorities in the most recent country of work as a medical doctor
    • If you are not yet registered with a license to work as a medical doctor in any country, and for that reason are unable to upload your license to practice medicine to EPIC for primary-source verification, please see the website of the Danish Patient Safety Authority concerning this before you upload the other two documents to EPIC for primary-source verification.

Special Note for applicants who graduated from a medical school located in Iraq

Please note if you are a graduate of a medical school located in Iraq, the following credentials are required in support of your application to the Danish Patient Safety Authority:

  • Basic Medical Qualification
    • The official document awarded to you by your medical school upon graduation (upload as Final Medical Diploma in EPIC)
    • If you are unable to provide your Final Medical Diploma, you are required to submit for verification a certificate stating you have completed medical education (upload as an Alternate Graduation Document in EPIC)
  • Final Medical School Transcript
    • If you are unable to provide your Final Medical School Transcript, you may submit a transcript of study program (curriculum) to fulfill this requirement (upload as Student Medical School Transcript). This document must be specific to the applicant and contain a full listing of the course curriculum as well as the duration of the basic programme.
  • License to Practice Medicine issued by the competent health authorities in the most recent country of work as a medical doctor
    • If you are not yet registered with a license to work as a medical doctor in any country, and for that reason are unable to upload your license to practice medicine to EPIC for primary-source verification, please see the website of the Danish Patient Safety Authority concerning this before you upload the other two documents to EPIC for primary-source verification.

Special Note for applicants registered to practice medicine in Russia

Please note that if your most recent license to practice medicine was issued by the Russian Federation, the following credentials are required in support of your application to the Danish Patient Safety Authority:

  • Final Medical Diploma (primary medical qualification)
  • Final Medical School Transcript
  • Certificate of Good Standing
    • Obtained as a Notice (Spravka) of your complete educational history from the Department of Medical Education and Human Resources within the Ministry of Health of the Russian Federation. The Notice lists your entire course of education as well as any disciplinary actions taken against you, and must be requested by you. For complete instructions on requesting this Notice, please contact the Department of Medical Education and Human Resources at +7 (495) 621-69-13 before submitting your request.

Special Note for applicants registered to practice medicine in Ukraine

Please note that if your most recent license to practice medicine was issued in Ukraine, the following credentials are required in support of your application to the Danish Patient Safety Authority:

  • Final Medical Diploma (primary medical qualification)
  • Final Medical School Transcript
  • Certificate of Good Standing
    • Please obtain a Certificate of Good Standing issued by the Center for International Programmes of the Ministry of Health of Ukraine.
    • If you are not yet registered with a license to work as a medical doctor in any country, and for that reason are unable to upload your license to practice medicine to EPIC for primary-source verification, please see the website of the Danish Patient Safety Authority concerning this before you upload the other two documents to EPIC for primary-source verification.
  • Please note: The Danish Patient Safety Authority will not need verified copies of the Certificate of Specialist credential. The Authority will only accept the Certificate of Good Standing, or in lieu of that, a Certificate of Non-Registration.

As you upload each credential, be sure to select the Danish Patient Safety Authority to receive an EPIC Report once the credential is verified.

Please note: It is very important that you select the Danish Patient Safety Authority to receive an EPIC Report for each required credential, as you upload it. If you do, an EPIC Report on that credential will be automatically sent when the credential is verified. If you do not select the Danish Patient Safety Authority to receive an EPIC Report on a credential at the time you upload it, you will be required to send an EPIC Report once your credential is verified.

Once uploaded, you can check on the status of your credentials at any time by logging in to your EPIC Account. See Using EPIC for more information.

Note that if your credentials have already been primary-source verified by ECFMG for ECFMG Certification or through ECFMG’s International Credentials Services (EICS), you do not need to upload the credentials that were previously verified by ECFMG. These credentials will be added to your EPIC Portfolio at no cost. Simply provide your ECFMG/USMLE ID and/or EICS ID when you establish your EPIC Account. ECFMG will review your file typically within 10 business days; if your file is acceptable, ECFMG will add your previously verified credentials to your EPIC Portfolio. You can then log in to EPIC and request that EPIC Reports for those credentials be provided to the Danish Patient Safety Authority.

Step 5 – Ensure reports on all required credentials have been sent to the Danish Patient Safety Authority.

If you selected the Danish Patient Safety Authority to receive an EPIC Report when a credential was uploaded, that report will be sent automatically when the credential is verified.

If you did not select the Danish Patient Safety Authority to receive an EPIC Report at the time you uploaded the credential, you must go to the “My Reports” tab in your EPIC Account and request an EPIC Report for the Danish Patient Safety Authority.

About Applying to the Danish Patient Safety Authority

1. I am applying to the Danish Patient Safety Authority for registration; do I need to use EPIC?

If you are a citizen of a country, and/or a graduate of a medical school, located outside of the European Economic Community (EEC), you must have required credentials verified through EPIC prior to submitting your application to the Danish Patient Safety Authority.

3. How far in advance of applying for registration to the Danish Patient Safety Authority do I need to upload my credentials to EPIC?

We recommend that you upload your credentials to EPIC for verification as soon as possible after you have submitted your application to the Danish Patient Safety Authority. Through EPIC, your credentials are verified directly with the issuing institution. The time required to complete the verification of credentials varies and depends on a number of factors, including the time it takes for the issuing institution to respond to our verification requests.

About Using EPIC

1. Will I have access to my medical credentials after I apply to the Danish Patient Safety Authority?

Yes. The credentials that you upload to EPIC remain available to you as part of your EPIC Portfolio. You can use EPIC to send copies of these credentials along with reports verifying their authenticity to organizations worldwide at any time throughout your career.

2. Will the Danish Patient Safety Authority have access to my EPIC Portfolio?

No. The Danish Patient Safety Authority will not have direct access to your EPIC Portfolio. The Danish Patient Safety Authority will have access only to the credentials and verification reports that you make available to them through EPIC when you choose the Danish Patient Safety Authority as an EPIC Report recipient for those credentials.

3. I am unable to upload scans of my credentials made directly from my original credentials. Can I upload scans made from copies of my original credentials?

Yes. ECFMG does not require that the scan of a credential that you upload to EPIC be made from the original credential. You may upload a scan of a copy of the credential, provided that it is a complete and accurate copy of the original credential, and that the scan meets EPIC’s file requirements. EPIC can accept credentials in PDF, JPG, and TIF formats, with a maximum file size of 10MB.

4. I requested that an EPIC Report be sent to the Danish Patient Safety Authority. How do I know that the Danish Patient Safety Authority received this report?

When a report is sent to the Danish Patient Safety Authority, the Danish Patient Safety Authority will have access to the report and a copy of your credential through the EPIC Report Portal.

If you need to confirm whether the Danish Patient Safety Authority has accessed your report through the Report Portal, please contact the Danish Patient Safety Authority .

5. Do I need to use EPIC when applying to the Danish Patient Safety Authority if my credentials have already been verified by ECFMG for a purpose other than applying to the Danish Patient Safety Authority?

Yes. If you are applying to the Danish Patient Safety Authority on or after January 1, 2016, and your credentials have already been primary-source verified by ECFMG for ECFMG Certification or through ECFMG’s International Credentials Services (EICS), you will need to create an EPIC Account and use EPIC to provide your credentials and verification reports to the Danish Patient Safety Authority. However, you will not need to upload the credentials that were previously verified by ECFMG; they will be added to your EPIC Account at no cost. Simply provide your ECFMG/USMLE ID and/or EICS ID when you establish your EPIC Account. ECFMG will review your file typically within 10 business days; if your file is acceptable, ECFMG will add your previously verified credentials to your EPIC Portfolio. You can then log in to EPIC and request that EPIC Reports for those credentials be provided to the Danish Patient Safety Authority.

6. Where do I find my EPIC ID?

Your EPIC ID is available in your EPIC Account. It can be found on the right-hand side of any page in your account, just underneath the main menu bar. It can also be located in the “Biographics” sub-tab under the “My Profile” tab of your account.

7. If I have questions or problems regarding EPIC, should I contact EPIC or the Danish Patient Safety Authority?
