Special Instructions

ECFMG partners with the Danish Patient Safety Authority to primary-source verify the medical education credentials of medical doctors applying for registration/licensure in Denmark. Beginning January 1, 2016, if you are a citizen of a country, and/or a graduate of a medical school, located outside of the European Economic Community (EEC), you must have certain required medical education credentials verified through EPIC prior to submitting your application to the Danish Patient Safety Authority.

Please note before proceeding that the Danish Patient Safety Authority will reject applications from medical doctors who have completed their primary medical qualifications more than six years prior to the Authority’s receipt of a fully documented application, unless the application is accompanied by a document stating professional experience for at least 12 months during the six years preceding the date when the Authority receives the application (6-year-rule).

To have your credentials verified through EPIC in support of an application to the Danish Patient Safety Authority, complete the following steps:

Step 1 – Establish an EPIC Account.

See Getting Started for complete instructions. Once ECFMG has processed your request and established your EPIC Account, ECFMG will e-mail you login information so you can access your EPIC Account.

Step 2 – Confirm your identity with EPIC.

See Confirming Your Identity with EPIC for detailed information. Confirming your identity with EPIC requires you to submit an EPIC Identification Form (EIF). Once this form has been accepted by ECFMG, you will be able to upload credentials required by the Danish Patient Safety Authority for primary-source verification.

Step 3 – Upload the required medical education credentials for primary-source verification through EPIC.

Log in to your EPIC Account and upload the following credentials for primary-source verification:

  • Final Medical Diploma
  • Final Medical School Transcript
  • most recent License to Practice Medicine

Special Note for applicants who graduated from a medical school located in Iraq

Please note if you are a graduate of a medical school located in Iraq, the following credentials are required in support of your application to the Danish Patient Safety Authority:

  • Basic Medical Qualification
    • The official document awarded to you by your medical school upon graduation (upload as Final Medical Diploma in EPIC)
    • If you are unable to provide your Final Medical Diploma, you are required to submit for verification a certificate stating you have completed medical education (upload as an Alternate Graduation Document in EPIC)
  • Final Medical School Transcript
    • If you are unable to provide your Final Medical School Transcript, you may submit a transcript of study program (curriculum) to fulfill this requirement (upload as Student Medical School Transcript). This document must be specific to the applicant and contain a full listing of the course curriculum as well as the duration of the basic programme.
  • Most recent License to Practice Medicine

If you are unable to obtain the documentation listed above from your university, the Danish Patient Safety Authority will be unable to proceed with your application. The Danish Patient Safety Authority advises Iraqi medical doctors to contact them directly before beginning the EPIC process.


Once uploaded, you can check on the status of your credentials at any time by logging in to your EPIC Account. See Using EPIC for more information.

Note that if your credentials have already been primary-source verified by ECFMG for ECFMG Certification or through ECFMG’s International Credentials Services (EICS), you do not need to upload the credentials that were previously verified by ECFMG. These credentials will be added to your EPIC Portfolio at no cost. Simply provide your ECFMG/USMLE ID and/or EICS ID when you establish your EPIC Account. ECFMG will review your file; if your file is acceptable, ECFMG will add your previously verified credentials to your EPIC Portfolio. You can then log in to EPIC and request that EPIC Reports for those credentials be provided to the Danish Patient Safety Authority.

Step 4 – Send reports on your verified credentials to the Danish Patient Safety Authority.

ECFMG will notify you by e-mail as each credential is verified. You can also monitor your EPIC Account to check the status of your verification requests. For each credential that is verified, go to the “My Reports” tab in your EPIC Account to request an EPIC Report for the Danish Patient Safety Authority. Be sure to select Danish Patient Safety Authority from the drop-down list when sending your report or your request will be rejected. Step 5 – Submit your application to the Danish Patient Safety Authority.

Once the verification reports have been sent to the Danish Patient Safety Authority, complete the Danish Patient Safety Authority’s electronic application form and submit your application.

The Danish Patient Safety Authority will evaluate your credentials and advise whether you are eligible to begin their authorization process.

I am applying to the Danish Patient Safety Authority for registration; do I need to use EPIC?

When do I need to start using EPIC?

If you are a citizen of a country, and/or a graduate of a medical school, located outside of the European Economic Community (EEC), you must have your Final Medical Diploma, Final Medical School Transcript, and most recent License to Practice Medicine verified through EPIC prior to submitting your application to the Danish Patient Safety Authority beginning January 1, 2016.

I’ve already submitted an application for registration to the Danish Patient Safety Authority; do I need to have my credentials primary-source verified through EPIC?

If you submitted your application to the Danish Patient Safety Authority prior to January 1, 2016, you do not need to create an EPIC Account and have your medical education credentials primary-source verified through EPIC. If you wish to submit your application on or after January 1, 2016, you must create an EPIC Account, have all the required credentials primary-source verified through EPIC, and request reports on your verified credentials for the Danish Patient Safety Authority before submitting your application to the Danish Patient Safety Authority.

I’ve already submitted my credentials directly to the Danish Patient Safety Authority; do I still need to submit them through EPIC?

If you submitted your credentials to the Danish Patient Safety Authority and applied for registration prior to January 1, 2016, you do not need to resubmit your credentials through EPIC.

Which credentials do I need to submit to the Danish Patient Safety Authority through EPIC?

The following credentials are required by the Danish Patient Safety Authority and must be verified through EPIC:

  • Final Medical Diploma
  • Final Medical School Transcript
  • most recent License to Practice Medicine

How far in advance of applying for registration to the Danish Patient Safety Authority do I need to upload my credentials to EPIC?

Applicants intending to register with the Danish Patient Safety Authority must have their Final Medical Diploma, Final Medical School Transcript, and most recent License to Practice Medicine primary-source verified through EPIC before submitting their application.

We recommend that you create an EPIC Account and upload your credentials to EPIC as soon as possible after you have decided to apply to the Danish Patient Safety Authority. Through EPIC, your credentials are verified directly with the issuing institution. The time required to complete the verification of credentials varies and depends on a number of factors, including the time it takes for the issuing institution to respond to our verification requests.

About the Verification Process

How long does it take to have my credentials verified through EPIC?

The time it takes to complete the verification of credentials through EPIC varies and depends on a number of factors, including the time it takes for the issuing institution to respond to verification requests.

When you upload a credential to EPIC, it will be processed typically within 10 business days. If the credential is not acceptable, this will be reported to you through your EPIC Account, along with the reason why the credential was not acceptable. If the credential is acceptable, ECFMG will send a verification request to the issuing institution.

If the issuing institution participates in ECFMG’s electronic Credentials Verification program, the request will be sent electronically. If the request cannot be sent electronically, it will be sent as a paper request either by mail or by courier, depending on which option you chose when you uploaded the credential. For paper verification requests, if ECFMG does not receive a response from the institution within 60 days, ECFMG will send up to three reminders on a 60-day cycle as needed to obtain verification.

Once ECFMG receives the verification from the issuing institution, ECFMG will review that verification typically within 10 business days. If the verification is acceptable, the credential will be added to your EPIC Portfolio and you will be able to request that a verification report and a copy of the credential be provided to the Danish Patient Safety Authority. If the verification is not acceptable, we will resend the verification request to the issuing institution.

You can monitor the status of the verification process for your credentials through your EPIC Account.

Are all credentials verified electronically?

No. Only credentials from medical schools that participate in ECFMG’s program for electronic Credentials Verification will be sent for verification electronically. If the option to send your credential for verification via courier was unavailable when you uploaded your credential to EPIC, the school to which the verification request is being sent participates in ECFMG’s electronic Credentials Verification program. The verification request will be sent to the school electronically.

How will I know when my credentials have been verified through EPIC and can be submitted to the Danish Patient Safety Authority?

EPIC will notify you by e-mail when a credential has been verified. You can also monitor the status of the verification process through your EPIC Account. Once your EPIC Account indicates that verification of the credential has been accepted, you can request that a verification report for that credential be provided to the Danish Patient Safety Authority.

About Using EPIC

Will I have access to my medical credentials after I apply to the Danish Patient Safety Authority?

Yes. The credentials that you upload to EPIC remain available to you as part of your EPIC Portfolio. You can use EPIC to send copies of these credentials along with reports verifying their authenticity to organizations worldwide at any time throughout your career.

Will credentials that I upload to EPIC after I complete my application be sent to the Danish Patient Safety Authority?

Credentials that you upload to EPIC are not automatically sent to the Danish Patient Safety Authority, whether you upload them before completing your application to the Danish Patient Safety Authority or after. For the Danish Patient Safety Authority to receive a copy of a credential and a report verifying its authenticity, you must log in to your EPIC Account and request that an EPIC Report be provided to the Danish Patient Safety Authority. You can do this at any time for credentials that have been primary-source verified through EPIC.

Will the Danish Patient Safety Authority have access to my EPIC Portfolio?

No. The Danish Patient Safety Authority will not have direct access to your EPIC Portfolio. The Danish Patient Safety Authority will have access only to the credentials and verification reports that you make available to them through EPIC when you choose the Danish Patient Safety Authority as an EPIC Report recipient for those credentials.

I am unable to upload scans of my credentials made directly from my original credentials. Can I upload scans made from copies of my original credentials?

Yes. ECFMG does not require that the scan of a credential that you upload to EPIC be made from the original credential. You may upload a scan of a copy of the credential, provided that it is a complete and accurate copy of the original credential, and that the scan meets EPIC’s file requirements. EPIC can accept credentials in PDF, JPG, and TIF formats, with a maximum file size of 10MB.

I requested that EPIC Reports on my verified credentials be provided to the Danish Patient Safety Authority. How do I know if the Danish Patient Safety Authority received the verification reports and copies of my credentials?

After you request EPIC Reports for the Danish Patient Safety Authority, the Danish Patient Safety Authority will have access to the reports and copies of your credentials through the EPIC Report Portal. If you need to confirm whether the Danish Patient Safety Authority has accessed your reports through the Report Portal, please contact the Danish Patient Safety Authority.

Do I need to use EPIC when applying to the Danish Patient Safety Authority if my credentials have already been verified by ECFMG for a purpose other than applying to the Danish Patient Safety Authority?

Yes. If you are applying to the Danish Patient Safety Authority on or after January 1, 2016, and your credentials have already been primary-source verified by ECFMG for ECFMG Certification or through ECFMG’s International Credentials Services (EICS), you will need to create an EPIC Account and use EPIC to provide your credentials and verification reports to the Danish Patient Safety Authority. However, you will not need to upload the credentials that were previously verified by ECFMG; they will be added to your EPIC Account at no cost. Simply provide your ECFMG/USMLE ID and/or EICS ID when you establish your EPIC Account. ECFMG will review your file; if your file is acceptable, ECFMG will add your previously verified credentials to your EPIC Portfolio. You can then log in to EPIC and request that EPIC Reports for those credentials be provided to the Danish Patient Safety Authority.

Where do I find my EPIC ID?

Your EPIC ID is available in your EPIC Account. It can be found on the right-hand side of any page in your account, just underneath the main menu bar. It can also be located in the “Biographics” sub-tab under the “My Profile” tab of your account.

Why was I unable to select the Danish Patient Safety Authority to receive notification that my credential was sent for verification when I uploaded my credential to EPIC?

Notification that a credential has been sent for verification can be sent only to organizations that have elected to receive them. The Danish Patient Safety Authority has elected not to receive such notifications at this time. However, once your credential has been verified, you will still be able to send an EPIC verification report to the Danish Patient Safety Authority.
